Cancellation and Refund Policy

This Booking Cancellation & Refund Policy (“Policy”) is an essential part of the MeetSpa Services Agreement governing the use of our Marketplace and Services. By using our services, you agree to adhere to the terms of this Policy. If you disagree with any part of this Policy, please refrain from using the Marketplace.
MeetSpa facilitates seamless transactions between Hosts and Professionals for workspace bookings. Each booking represents a mutual commitment: Hosts guarantee workspace availability, while Professionals rely on the booking to fulfill their needs. If a Professional cancels a booking, it can limit the Host’s ability to rent the space, as others may already have made alternate plans. On the other hand, when Hosts cancel, the Professional’s event or work schedule can be significantly impacted, often requiring extensive support from MeetSpa. However, we understand that circumstances can change, necessitating occasional cancellations by either party.
This Policy governs all cancellations and refunds processed through the MeetSpa Marketplace. Both Hosts and Professionals are bound by these guidelines when canceling a booking.
Amendments & Applicability
MeetSpa reserves the right to update or change this Policy at any time, as needed. Any updates will be reflected on our website. If any conflicts arise between this Policy and the MeetSpa Services Agreement, the Services Agreement will take precedence. Only the version of this Policy in effect at the time of booking or any subsequent modifications will apply.
Grace Period for Cancellations
We offer a Grace Period for bookings made in advance. If you cancel your booking within 2 hours of receiving confirmation and at least 48 hours before the event begins, you are entitled to a full refund. Please note that bookings made within 48 hours of the event start time are not eligible for the Grace Period.
Final Decision on Disputes
In case of disputes related to the application of cancellation terms, MeetSpa will make the final determination, as outlined in the MeetSpa Services Agreement.
Cancellation Policy for Professionals
At MeetSpa, we recognize that every booking is unique and that a one-size-fits-all cancellation policy may not be suitable for every situation. Below is a comprehensive guide for how cancellations work, ensuring clarity for both Professionals and Hosts.
7-Day Cancellation Notice
Professionals can cancel their reservation up to 7 days before the scheduled start time for a full refund (excluding service fees). Cancellations made between 7 and 48 hours before the reservation start time will result in a 50% refund (excluding service fees). Any cancellations less than 48 hours before the start time are non-refundable. For reservations made within 7 days of the start time, only cancellations made 48 hours or more in advance will be eligible for a 50% refund.
Cancellation Confirmation
Your reservation will be officially canceled only once you receive confirmation from MeetSpa via app notification
or email.
Taxes
Any taxes collected by MeetSpa that relate to refunded amounts will be returned to the Professional. Any taxes on
the non-refundable portion of canceled reservations will be paid to the relevant tax authority.
Multi-Day Bookings
For multi-day or non-consecutive day bookings, the cancellation policy applies to each individual day of the
reservation.
Cancellation Deadlines
All deadlines are calculated according to the local time of the reserved workspace.
Host-Initiated Cancellations
When a Host cancels a reservation, the Professional will receive a full refund, including any service fees. However, the Host will be held responsible for any losses incurred by MeetSpa or the Professional. If a Host cancels a reservation, scheduled payouts will be canceled, and the Host may be subject to fines. MeetSpa may deduct these fines from any amounts payable to the Host within seven (7) days.
Fines for Host Cancellations
If a Host initiates a cancellation without a valid reason, they may be held liable for the following:
- Costs related to the Professional’s displacement.
- A fine, which will be the greater of $100usd or 15% of the total reservation price.
- Delisting from MeetSpa if multiple cancellations occur within 90 days.
- Modifications to the Host’s listing to reflect their cancellation history.
- Potential suspension or termination of the Host’s account.
Exceptions to Fines
MeetSpa may waive fines in cases such as:
- The reservation was mistakenly accepted by the Host and canceled within 2 hours.
- False or misleading information was provided by the Professional.
- The Professional intends to use the space inappropriately.
- Both parties mutually agree to cancel the reservation.
- Any other valid reason deemed excusable by MeetSpa.
Excused Cancellations
MeetSpa allows both Professionals and Hosts to cancel reservations in cases of extenuating circumstances, referred to as "Excused Cancellations." These cancellations may result in a full refund or MeetSpa Credits issued to the Professional. MeetSpa may require supporting evidence for an Excused Cancellation. Some common examples of Excused Cancellations include:
- Unexpected death or serious illness of the Host, Professional, or an immediate family member.
- Severe injury that impacts travel or the ability to provide the workspace.
- Natural disasters or emergencies impacting the workspace or travel.
- Government-imposed travel restrictions or security advisories.
- Significant property damage or maintenance issues affecting the workspace.
- Legal or governmental restrictions on the workspace.
MeetSpa-Initiated Cancellations
In certain situations, MeetSpa may cancel a reservation. Such cancellations may be either full or partial, depending on the specific circumstances. These cancellations may occur for reasons such as:
- An Excused Cancellation.
- The Host or workspace being removed from the marketplace.
- Evidence of illegal or unauthorized activity.
- Safety or risk concerns.
- Failure to provide necessary documentation (e.g., insurance).
- Violations of the Community Guidelines.
- Any other reason determined appropriate by MeetSpa.
In these cases, MeetSpa is not liable for any subsequent issues, and refunds or payouts will vary based on the specific situation.
How to Cancel a Reservation
To cancel a reservation, submit a cancellation request through the designated “Cancel Reservation” option on the MeetSpa platform. Cancellations cannot be processed through messages, phone calls, or emails. If you're unable to locate the cancellation option, please contact our Customer Experience Team. After submitting the request, MeetSpa may require up to 48 hours to finalize the cancellation and process any refunds.
MeetSpa Credits
For MeetSpa-initiated cancellations, Professionals may be issued a MeetSpa Credit instead of a cash refund. These credits can be used for future bookings or to cover additional fees. MeetSpa Credits are not redeemable for cash and cannot be transferred.
Rescheduled Reservations
In certain circumstances, Professionals or Hosts may be allowed to reschedule a reservation. Rescheduled reservations must meet the following conditions:
- The duration of the rescheduled reservation should be the same as the original.
- The reschedule must be approved by the Host.
- The new reservation time must be within 60 days of the original reservation.
- The reservation may only be rescheduled once.
Once rescheduled, the booking is non-refundable. If a Professional cannot accept the new time, they will receive a full refund, including any fees, and the Host will be responsible for all associated costs.
